Accounting software for eTIMS should do more than print an invoice with your company logo. Before buying in Kenya, ask the supplier to demonstrate the exact KRA integration, show how an invoice can be verified and explain what happens when transmission fails. Compare the complete cost of implementation, support and data export, not just the subscription.

What does eTIMS-compatible accounting software mean?
KRA’s system-to-system integration guidance distinguishes VSCU, for bulk invoicing and systems that are not always online, from OSCU, for invoicing systems that are always online. Integration may be developed by a taxpayer or supplied through a KRA-verified third party. KRA describes development, testing, vetting and certification as parts of the process.
That distinction matters when a sales demonstration uses the word “compatible”. A package might export records for another tool, support a separate connector, or communicate directly through an integration. Ask exactly which arrangement is included and which organisation is responsible for keeping it working.
If you are still choosing your invoicing route, read eTIMS versus ETR and our small-business eTIMS registration guide before paying for an implementation.
1. Verify the accounting software integration claim
Ask for the product name, connector name, supplier’s legal name and evidence relevant to the integration being offered. Check the provider’s claim against KRA’s current information. Do not treat a screenshot, a sales badge or a statement that “our clients use eTIMS” as proof that the specific package you are buying has completed the appropriate process.
Put responsibility into the contract. If the accounting vendor and connector provider are different businesses, identify who handles an invoice rejection and who communicates with KRA. A problem must have one accountable support owner, even when several suppliers work behind the scenes.
2. Demonstrate accounting software invoice verification
Use a supervised demonstration with representative data that does not expose your real customers’ information. A preview PDF alone is insufficient. Ask the vendor to explain the complete workflow: create a transaction, transmit it through the relevant integration, retrieve the response and show how an authorised user can check its status.
Our eTIMS invoice verification guide covers the separate checking step. When testing eTIMS-compatible accounting software, check that the invoice shown to a customer corresponds to the accepted transaction, rather than an untransmitted draft with an attractive layout.
3. Test accounting software with rejected transactions
| Acceptance test | Evidence to request |
|---|---|
| Connection interruption | A visible queue or error, with a documented recovery procedure appropriate to the integration |
| Rejected transaction | An understandable status and a traceable correction process |
| Credit note or return | A demonstration of the supported reversal workflow and its link to the original transaction |
| Repeated submission | An explanation of duplicate prevention and reconciliation |
| End-of-day reconciliation | A comparison of sales records, transmission statuses and accepted invoices |
| Staff access change | A manager removing a user without losing the transaction audit trail |
These are suggested purchasing tests, not a claim that KRA mandates this exact checklist. Ask your accountant which transaction types your business needs and use them in the demonstration. A retailer with returns and stock transfers may have different requirements from a consultancy billing a few projects each month.
4. Check accounting software fits your operations
eTIMS-compatible accounting software still needs to serve the accounting job. Review the chart of accounts, bank reconciliation, receivables, payables and reporting. If you manage stock, test units, branches, returns and permissions using your real operating model. Do not buy unnecessary features just because they appear on a long comparison table.
Make the accountant part of the acceptance meeting. Ask whether opening balances and outstanding invoices can be imported cleanly, which records will remain in the old system, and how the cutover date will be controlled. Agree who signs off that the opening position is correct.
5. Get the complete cost in writing
A useful quotation for eTIMS-compatible accounting software separates subscriptions, users, branches, implementation, data migration, training, connector charges and ongoing support. Ask whether tax is included and whether additional invoice volume changes the price. Obtain the cancellation and renewal terms before authorising payment.
No current software prices are quoted here because they have not been independently obtained for comparable configurations. A low advertised monthly fee may exclude the connector or setup work. Compare the total first-year cost against the same required functions, not against another vendor’s most expensive package.
6. Protect accounting software access and backups
Ask who hosts the data, how access is restricted and whether activity is logged. Finance staff should use named accounts with appropriate permissions, rather than a shared administrator password. Request a documented backup and restoration procedure and ask what assistance is included if records must be recovered.
Also test export before signing. Download your customers, suppliers, invoices and ledger records in usable formats, and establish what happens at cancellation. Read our SME data-protection registration guide for related Kenyan compliance context; software selection does not resolve every data-protection obligation.
7. Agree accounting software support before rollout
Name the people who will train your staff, resolve rejected invoices and maintain the connector when requirements change. Ask for support hours, escalation channels and written service commitments. An eTIMS-compatible accounting software purchase should end with a usable workflow, not merely a login.
Start with one supervised transaction workflow and reconcile it before moving the whole business. Do not create unnecessary live tax invoices just to experiment: agree a safe demonstration and implementation method with the supplier and your accountant. Keep the test results and acceptance record with the contract.
Buying next step: send these acceptance tests and a short description of your business to shortlisted providers. Ask each to price the same requirements and demonstrate its integration. This guide does not recommend an untested vendor or imply KRA endorsement of a named product.

Frequently asked questions
Does an invoice PDF prove that software is integrated with eTIMS?
No. Ask for evidence of the integration and a demonstration of transmission, response handling and verification for the actual product you will buy.
What is the difference between OSCU and VSCU?
KRA describes OSCU for always-online invoicing systems and VSCU for bulk invoicing and systems that are not always online. Ask which route fits your business and how its operational requirements will be met.
Is there one best accounting package for every Kenyan SME?
No universal winner is established here. Compare your transaction needs, integration evidence, support, accounting functions and total price using the same acceptance tests.
Should data export be tested before buying?
Yes. Checking export, backup and access arrangements before purchase helps you understand whether you can retrieve usable records if you later change suppliers.
