Quick answer

KUCCPS course applications need no document upload. Only the inter-institution transfer asks for one: a supporting document matching your reason, an explanation of 300 to 600 characters and a KES 1,000 fee paid through eCitizen. KUCCPS does not publish a file size limit, so the tool defaults to 1,000 KB.

Updated 17 October 2026

Most KUCCPS applicants never upload a single file. Choosing courses on the Student’s Portal only needs your KCSE index number, examination year and password. The one step that does require a document is the inter-institution transfer, where you must attach proof of your reason for moving. The tool above prepares that document on your own device: turn a photo or screenshot into a PDF, shrink a large PDF, or compress an image. Nothing is uploaded to our server.

When KUCCPS Asks You to Upload a Document

According to the KUCCPS inter-institutional transfer guidance, you log in to the Student’s Portal, open the transfer application, enter the code of the institution and programme you want, select a reason, and attach a supporting document. You then pay the KES 1,000 transfer fee through eCitizen and submit using the payment reference code. Both the institution you are leaving and the one you are joining must endorse the request before it reaches KUCCPS.

The document you attach depends on your reason:

  • Medical reasons: a medical report or letter from a recognised health facility or medical professional.
  • Financial reasons or “not my preferred programme”: a screenshot of your application history or dashboard on the portal.
  • Person with disability: your registration document from the National Council for Persons with Disabilities.
  • Other reasons: any document that genuinely supports what you have written.

You also type an explanation of 300 to 600 characters. That is characters, not words, which catches many students out. Around 60 to 100 words is the right length.

What File Size and Format Does KUCCPS Accept?

We could not find an official KUCCPS statement of the accepted file types or maximum size for transfer documents, and we will not make one up. Guides that cover the process simply advise a clear PDF or image. The tool therefore defaults to 1,000 KB for PDFs and 500 KB for images. Small files like these upload reliably on mobile data and are well within the limits used by most Kenyan portals. If the portal shows a specific limit when you reach the upload step, type it into the “Maximum size” box.

How to Prepare Your Transfer Document

  1. Get the right evidence. For a dashboard screenshot, log in on your phone, open your application history and take a screenshot that shows your name or index number and the placement. For a medical letter, make sure it is signed, stamped and dated.
  2. Choose a mode. “Images to PDF” turns one or more photos or screenshots into a single PDF. “Compress PDF” shrinks a PDF you already have. “Compress image” keeps it as a JPG.
  3. Set the size. Leave the default or enter the limit shown on the portal.
  4. Download and attach. Tap “Fix my file”, download the result and attach it on the transfer page.

Common Problems and Fixes

The page will not move to payment

Students commonly report this when the reason box is outside the 300 to 600 character range. Write your reason in a notes app that counts characters, then paste it in. Refreshing and redoing the earlier steps also helps if the page has frozen.

The attachment will not upload

A large scan, an unusual format such as HEIC, or a slow connection are the usual causes. Converting it to a small PDF with the tool fixes all three.

Payment made but not showing

This is a separate issue with how the eCitizen payment links back to KUCCPS. Our guide on fixing a KUCCPS payment that is not reflecting covers the steps.

Transfer declined

The receiving institution can decline if you do not meet the programme’s cut-off or if it has no space. Check the requirements before applying, using our pages on KUCCPS cut-off points and how KUCCPS placement works.

After Your Transfer Is Approved

Once KUCCPS approves the transfer, you download and print the transfer letter and take a copy to the new institution, which then issues your admission letter and joining instructions. If you will need a loan, the HELB application is next, and our HELB Upload Requirements and Compressor prepares your photo and ID for it. Our guide on applying for HELB for the first time explains the rest.

Frequently Asked Questions

Do I need to upload my KCSE certificate to KUCCPS?

Not for the normal course application. KUCCPS works from your KCSE results using your index number.

Does KUCCPS handle changing courses within the same university?

No. KUCCPS says that a change of programme within the same institution is handled by the institution’s own department or faculty.

Is my medical letter safe in this tool?

Yes. Your files never leave your device. The conversion runs inside your browser and nothing is stored anywhere.

How much does a transfer cost?

The KUCCPS guidance gives a fee of KES 1,000, paid through eCitizen. The tool on this page is free.
