Quick answer

KMTC's admissions portal requires scanned documents to be less than 2 MB. For KMTC places applied for through KUCCPS, physical KCSE certificates and result slips are not required. The KMTC photo size limit is not officially published.

Updated 17 October 2026

KMTC applicants run into upload trouble at two points: attaching scanned certificates and adding a passport photo. The tool above handles both on your own device. Merge photos of your documents into one PDF, shrink a scan that is too big, or make a passport photo at a fixed size. Nothing is sent to our server.

Two Ways Into KMTC, Two Different Upload Rules

Before you scan anything, check which route you are using, because it changes what you need to upload.

  • Government-sponsored places through KUCCPS. KUCCPS runs applications for KMTC diploma and certificate programmes on its Student’s Portal. In its media release on KMTC applications, KUCCPS says physical KCSE certificates and result slips are not required, because its system verifies qualifications directly. It also warns that nobody, including cyber attendants, should ask you for them. If this is your route, you probably do not need to upload certificates at all.
  • The KMTC admissions portal. KMTC’s own portal, used for its advertised intakes, in-service upgrading and higher diplomas, asks you to have the documents listed in its user guide ready. Its official instructions state that scanned documents must be less than 2 MB in size.

KMTC Upload Limits: What Is Confirmed

  • Scanned documents: under 2 MB each. Confirmed on the KMTC admissions portal’s application instructions page. The tool defaults to 1,900 KB for PDFs, which leaves a little headroom.
  • Passport photo: not confirmed. One secondary guide says the photo must be JPG, JPEG, PNG or GIF and no larger than 100 KB. We could not find that on an official KMTC page, so treat it as a report. To be safe, the tool aims for 95 KB on photos, which passes if the 100 KB report is right and passes easily if the real limit is higher.
  • Photo pixel size: not published. The tool defaults to 413 x 531 pixels, the standard 35 x 45 mm passport proportion at print resolution. Change it if the portal states a different size.

How to Prepare Your KMTC Uploads

  1. Collect the originals. Lay out your KCSE certificate or result slip, your national ID or birth certificate, and any other document the advert asks for.
  2. Photograph or scan each one. Lay it flat in daylight, hold the phone straight above it and fill the frame. Check that grades and serial numbers are readable when you zoom.
  3. Make a PDF. Choose “Images to PDF”, select the photos of one document (for example both sides of your ID) and download a single PDF under 2 MB.
  4. Make your photo. Choose “Passport photo”, load a picture taken against a plain light wall, frame your head and shoulders with the sliders and download.
  5. Upload one file at a time and confirm each one shows as attached before moving on.

Common Problems and Fixes

“File too large”

Phone scans are often 3 to 6 MB. Run them through “Compress PDF” or “Images to PDF” and they will drop under 2 MB while staying readable.

The photo is rejected or will not attach

Check the format first. iPhones save HEIC by default, which many portals refuse. The tool always outputs a JPG. If it still fails, lower the maximum size in the box and try again.

Someone at a cyber is asking for your certificates for a KUCCPS application

KUCCPS says this is not needed for its KMTC applications. Keep your documents private and apply yourself, or use a Huduma Centre, which KUCCPS recommends.

Paid the application fee but the portal does not show it

Make sure you paid to the account number linked to the ID or birth certificate number you registered with. KMTC applicant guides stress this, because payments to the wrong reference do not match up.

Plan Your KMTC Application

Once admitted, the HELB loan FAQ for KMTC students and our HELB Upload Requirements and Compressor help with funding. For KUCCPS transfers, use the KUCCPS Document Upload Size and Compressor.

Frequently Asked Questions

Is the tool free?

Yes, with no sign-up and no watermark.

Are my certificates uploaded to your site?

No. Your files never leave your device. Everything runs inside your browser.

Can I upload a photo of my certificate instead of a scan?

KMTC asks for scanned documents. A sharp, flat, well-lit phone photo turned into a PDF usually reads as clearly as a scan, but what matters is that every detail is legible.

What if KMTC changes the limit?

Type the new limit into the “Maximum size” box. The tool works to whatever number you enter.
