Quick answer

TSC registration needs scanned original documents, with transcripts combined into one PDF, plus a passport photo, ID, KRA PIN, good conduct certificate and GP69 form. The fee is KES 1,050 for new registration. Guides report a 1 MB limit per file, so the tool defaults to 950 KB.

Updated 17 October 2026

Registering for a TSC number means uploading a stack of documents: certificates, transcripts, your ID, KRA PIN, good conduct certificate, the GP69 medical form and a passport photo. Most delays come from files that are too large or transcripts uploaded one page at a time. The tool above fixes both on your own device. Merge pages into one PDF, compress a scan, or make a passport photo. Nothing is uploaded to our server.

What TSC Asks You to Upload

TSC’s teacher registration manual and the online registration form set out the core requirements:

  • Scanned originals only. The registration form states that only original documents should be scanned and uploaded.
  • Transcripts in one PDF. The manual asks for transcripts combined into a single PDF.
  • Passport photo, along with your ID or passport, KRA PIN certificate, certificate of good conduct, GP69 medical form and academic certificates.
  • Expatriate teachers also attach a clearance letter from the Ministry of Education Vetting Committee.
  • Fee: the form gives a non-refundable KES 1,050 for new registration and KES 2,050 for a duplicate certificate, paid during the process through eCitizen payment methods.

TSC File Size Limit: What We Know

TSC’s official pages do not state a maximum file size. Several applicant guides report that the portal will not accept documents bigger than 1 MB, and that each upload screen takes only a handful of files, around 3 to 4 on one page and 6 to 8 on the next. That is why merging related documents matters. Because the 1 MB figure is reported rather than published, the tool defaults to 950 KB for PDFs, which passes if the report is right. If the portal shows a different number, enter it in the “Maximum size” box.

No pixel size is published for the photo either. The tool defaults to 413 x 531 pixels, the standard 35 x 45 mm passport proportion, at under 300 KB.

How to Prepare Your TSC Documents

  1. Transcripts first. Photograph every transcript page in order, choose “Images to PDF”, select them all at once and download one PDF. This single step saves several upload slots.
  2. Certificates and forms. Make one PDF per document: degree or diploma certificate, KCSE certificate, GP69 form, good conduct certificate, KRA PIN certificate. Put both sides of your ID into one PDF.
  3. Existing PDFs. If a downloaded certificate is over the limit, use “Compress PDF”.
  4. Your photo. Use “Passport photo” with a recent picture against a plain light background.
  5. Upload in order, entering each certificate’s details before adding its file, and save the documents before moving to the next screen.

Common Problems and Fixes

The upload fails without a clear error

The usual cause is a file over the size the portal accepts. Compress it below 1 MB and try again.

Not enough upload slots

Merge transcripts, and both sides of the ID, into single PDFs. That is what TSC asks for anyway.

The GP69 scan is unreadable

Stamps and signatures blur at low quality. Raise the maximum size slightly, or rescan in daylight with the page flat.

Payment not reflecting

Fees are paid during the process through eCitizen payment methods. Keep the transaction message and the eCitizen reference before you submit.

You will also need a certificate of good conduct, which our Certificate of Good Conduct Upload Size and Compressor covers, plus a KRA PIN (see how to reprint a lost KRA PIN). Applicants are also often asked for a CRB clearance certificate. Once employed, check pay by grade on pages such as the TSC C1 salary.
