Free online calculator helps Kenyan landlords split tenant rent payments and track arrears

Rent arrears calculator for Kenyan landlords

Updated 1 November 2026

Ananke Digital has released a free Rent Payment & Arrears Calculator that shows how a tenant’s M-Pesa payment should be split across rent, water, service charge, late fees and old balances, and how much is still owed.

This free rent arrears calculator is aimed at landlords who collect rent by M-Pesa.

NAIROBI, 1 November 2026: Nairobi digital studio Ananke Digital has published a free Rent Payment & Arrears Calculator for landlords, caretakers and property managers.

Why landlords need a rent arrears calculator

Tenants rarely pay the exact amount due. Many pay part of the rent, or send one lump sum to cover rent, water, service charge and last month’s balance. Landlords are then left working out by hand what each payment covered and what is still outstanding. Landlords already dealing with rental income tax on iTax and KRA compliance checks on rental income need clean records of what each tenant has paid.

How the rent arrears calculator works

Rent arrears calculator for Kenyan landlords

You enter the monthly rent, the water bill, the service or garbage charge, any late fee and any arrears brought forward, along with the amount the tenant paid. The calculator applies the payment to each charge in a fixed order and shows how much each charge received. It then reports the balance still owed, or the credit to carry forward.

Landlords can choose one of two payment orders:

  • Clear the oldest arrears and fees first.
  • Protect the current month’s rent first.

Receipts for tenants by SMS or WhatsApp

The tool also writes a short receipt line that includes the unit code. You can send it to the tenant by SMS or WhatsApp. The calculator runs entirely in the browser, so the figures you enter are not sent or stored anywhere.

Companion guide on M-Pesa paybill rent collection

The calculator comes with a practical guide to collecting rent through an M-Pesa paybill. It covers:

  • using unit codes as account numbers
  • agreeing the order in which payments are applied
  • matching payments by phone number
  • sending receipts and reminders
  • keeping an arrears list
  • handling deposits separately from rent

Clear arrears records also help if a tenancy dispute arises. See our guide to landlord eviction in Kenya.

Other free tools for Kenyan businesses

The calculator joins Ananke Digital’s set of free tools. The set includes ROAS, CPM/CPC/CPA, influencer rate, engagement rate, marketing budget, website ROI and AI automation savings calculators.
