Updated 25 October 2026
Since 1 July 2025, every Kenyan government tender, from a county supply of stationery to a national roads contract, has been run through one online system: the electronic Government Procurement system, known as e-GP. If you want to sell goods, works or services to a ministry, state agency or county, you must first register your business on the e-GP portal at egpkenya.go.ke. Without an approved e-GP account you cannot download tender documents, submit a bid or be awarded a contract. This guide explains who can register, the documents you need, how the registration works and where to get help when it gets stuck. It follows the National Treasury’s own notices and the supplier registration rules published on the e-GP portal.

What e-GP is and why it replaced the old way
The National Treasury began rolling out the end-to-end e-GP system to all procuring entities in national and county governments after the President directed it in his State of the Nation address on 21 November 2024. The Treasury’s notice to suppliers says that from 1 July 2025 all government procurement goes through e-GP and that supplier registration is a prerequisite. The Kenya Law Reform Commission and the Business Registration Service (BRS) published the same notice.
Before e-GP, many suppliers dealt with the IFMIS supplier portal and paper bids. The Treasury says the new system is meant to cut the cost of goods and services, reduce the time a procurement takes, and make the whole process more transparent, from the annual procurement plan through evaluation, award, contract management and tracking payments.
Who can register on e-GP
The portal lists these business types as eligible to register:
| Business type | Typical example |
|---|---|
| Sole proprietorship or business name | A one-person hardware shop registered with BRS |
| Partnership firm | Two or more partners trading under a registered name |
| Limited liability partnership | Professional firms such as some audit or law practices |
| Community based service provider | A registered community group offering local services |
| Local individual consultant | A self-employed engineer, trainer or IT consultant |
| Local company (private or public) | A limited company incorporated in Kenya |
| Company limited by guarantee | Many non-profit or membership bodies |
| Foreign company | A firm registered outside Kenya |
Youth, women and persons with disabilities who hold Access to Government Procurement Opportunities (AGPO) certificates still register on e-GP like any other supplier. AGPO registration is separate and is done at agpo.go.ke. Our guide to AGPO tenders in Kenya explains how the reserved 30% share of tenders works.
Documents and details you need before you start
According to the supplier registration page on egpkenya.go.ke, you need:
- A valid business or company registration number issued by the Business Registration Service (BRS).
- The Kenya national ID number of the person registering, as held by the National Registration Bureau.
- The KRA PIN of the business or individual.
- The certificate of registration, incorporation or compliance.
- An official mobile phone number and email address that someone checks every day.
If you do not yet have a PIN for your firm, see how to get a KRA PIN for a company or, for a sole trader, how to get a KRA PIN. If you are still choosing a trading name, our guide to checking and reserving a business name on eCitizen covers the BRS step. Most tenders also ask for a valid KRA tax compliance certificate at bid stage, so it is worth getting one now.
Make sure your government records match first
This is where most registrations fail. The e-GP system checks what you type against the live databases of KRA (iTax), BRS and the population register in real time. The portal warns that any mismatch between your details and those records may lead to your application being rejected. Before you register, confirm that your business name, registration number, directors or partners, and ID numbers are exactly the same on your BRS record and your KRA PIN certificate. If a director has left or the business address changed, update BRS and iTax first, then register on e-GP.
Who must do the registration
The person who registers and runs the account is called the Authorised Person. For a sole proprietor or a company with one director, that is the owner or director. For larger firms it can be a director, a partner or another person the business formally authorises.
Anyone acting for the business must upload a legal instrument giving them that authority, either a Power of Attorney or a Board Resolution. The portal says these documents must state the person’s powers and be certified by an advocate, a Commissioner of Oaths or, where applicable, the company secretary on record with a valid practising certificate. A Board Resolution must also come with a certified extract of the minutes of the meeting that appointed the Authorised Person. The supplier is liable for everything the Authorised Person does in the system, so choose that person carefully.

How to register, step by step
- Open egpkenya.go.ke and go to Supplier Registration (egpkenya.go.ke/supplier/registration).
- Read the registration notes and accept the supplier consent, which commits you to the system’s terms and the relevant laws.
- Fill in the four sections in order: Registration Details, Contact Details, Business Details and Office Address.
- In Registration Details, enter your BRS registration number, KRA PIN and the Authorised Person’s ID number. The system pulls and verifies the matching records.
- Enter the official email address and mobile number. Notifications about tenders, clarifications and awards are sent there.
- Upload the certificate of registration or incorporation and, where you act for the business, the certified Power of Attorney or Board Resolution.
- Submit and watch your email and phone for confirmation or a request to correct details.
The Treasury has published a Supplier Registration Module manual on the e-GP portal, and the e-GP support site at support.egpkenya.go.ke has step-by-step guides and videos for supplier registration. Use them alongside this guide, because screens can change as the system is updated.
Does registration cost anything?
No fee is charged on the portal for supplier registration, and the National Treasury’s service charter lists supplier registration and the processing of tenders as free services. Be wary of anyone who asks for money to register you or to guarantee you a tender. Some individual tender documents may still carry their own conditions, such as a bid security, so always read the tender itself.
Foreign suppliers
A foreign firm that is not registered with BRS may still register on e-GP through an Authorised Person. However, the portal is clear that registration with the Business Registration Service is mandatory before a contract is awarded. No contract goes to a foreign supplier without BRS registration.
After you register: finding tenders and the e-catalogue
Once approved, you can browse and respond to tenders from national and county procuring entities inside e-GP. The system also has an e-catalogue, where registered suppliers upload items with specifications and prices so that government buyers can order commonly used goods directly through a shopping-cart style workflow. Keep your catalogue prices and stock details current, since buyers order from what is listed.

Frequently asked questions
Is e-GP registration mandatory?
Yes. Since 1 July 2025 all government procurement in Kenya runs through e-GP, and supplier registration is a prerequisite for taking part.
How much does it cost to register on e-GP?
Nothing. The portal charges no registration fee and the Treasury’s service charter lists supplier registration as free.
Do I still need IFMIS?
For new tenders, e-GP is the system suppliers register on. Follow the instructions in each tender notice, which name the system to use.
Can an employee register for my company?
Yes, if the company gives them a certified Power of Attorney or Board Resolution, plus certified minutes for a resolution.
Can AGPO groups use e-GP?

Who do I contact if registration fails?
Email support@egpkenya.go.ke, call 020 3341030, or visit Room 622 at the Treasury Building or the Treasury desk at a Huduma Centre.
