How to Register a Chama in Kenya: Fees and Documents

Updated 27 October 2026

How to register a chama in Kenya usually means registering it as a community group (self-help group) with the Directorate of Social Development. The State Department for Social Protection lists a name search, minutes showing elected officials, a signed members list with ID and phone numbers, ID copies, a group constitution and an approved registration fee of KSh 1,000. CBOs amalgamating several groups pay KSh 5,000 and file extra amalgamation papers. Updated October 2026.

Source: Services — Group Registration on socialprotection.go.ke (State Department for Social Protection & Senior Citizen Affairs). Fees and document lists below are taken from that page; confirm at your sub-county office or Huduma desk before you pay.

How to register a chama: group versus CBO

The official page splits two products:

  • Group / self-help group — typical chama path. Fee KSh 1,000. After registration: renew the certificate annually after the first two years; submit annual progress reports to the Director Social Development; allow record inspection when required.
  • CBO — often used when several groups amalgamate. Fee KSh 5,000. Needs an MOU for amalgamation plus original certificates of affiliate groups. After registration: renew annually; submit quarterly progress reports; allow inspection.

Failure to meet post-registration duties can lead to non-registration or de-registration, handled at sub-county level.

Documents checklist from Social Protection

For a standard group, the published requirements are:

  1. Name search
  2. Minutes of the meeting seeking registration and showing elected officials (attached to the application)
  3. List of all members, signed, with name, position, mobile number, ID number and signatures
  4. ID copies for all members
  5. Group constitution accompanying the application form
  6. Payment of the approved KSh 1,000 registration fee

For a CBO, add ID copies of all members, the CBO constitution, an MOU where the CBO is formed by amalgamation, and original certificates of the amalgamating groups, and pay KSh 5,000.

Step-by-step process

  1. Hold a founding meeting. Agree the purpose, elect officials, adopt a constitution, and record signed minutes and a full members list.
  2. Do the name search through the Social Development channel your sub-county or Huduma Centre uses (the national page lists registration across sub-counties and 53 Huduma centres).
  3. File the application with constitution, minutes, member list, IDs and the fee receipt.
  4. Collect the certificate, then open a chama bank or SACCO account in the registered name.
  5. Diary renewals and reports so the certificate does not lapse.

After registration: money and tax questions

Registration as a community group is not the same as incorporating a limited company or co-operative. Investment chamas that grow large often later compare company or SACCO structures. For pooled investing ideas once you are registered, start with our investing in Kenya from abroad: MMFs, T-bills and dollar funds guide for product mechanics, and keep proper books from day one.

If the chama builds a simple website for member notices, you can compare hosting on Truehost (affiliate link). For KRA questions as the group earns interest or runs a micro-business, keep KRA Contact Centre and tax calculators handy. Fraud against investment groups remains common — read how to verify agents and avoid scams for the verification mindset, even though that piece targets education agents.

Constitution tips before you file

Social Protection requires a constitution with the application. Keep it practical: membership rules, contribution amounts, loan interest if you do table banking, election cycle, signatories on the bank account, and how a member exits with their share. Vague constitutions cause bank-account delays even after the certificate is issued. Have every founding member sign the adoption minute so the attached list matches the people on the IDs.

Frequently asked questions

How much does it cost to register a chama?

Social Protection’s group-registration page states an approved registration fee of KSh 1,000 for a group and KSh 5,000 for a CBO. Confirm the amount at the desk when you file, in case of local gazette updates.

Where do I register a chama in Nairobi?

Applications are handled at sub-county Social Development offices and Huduma Centres. Use the national contacts on socialprotection.go.ke if you need to locate the correct desk.

Is a merry-go-round required to register?

The Social Protection page describes voluntary registration of self-help groups and CBOs. Unregistered chamas still operate socially, but registration is what unlocks formal linkage to state and MFI support described on that page.

How often must a registered group renew?

For groups, the page says renew the certificate annually after the first two years of registration and submit annual progress reports. CBOs renew annually and file quarterly progress reports.

What is the difference between a chama and a CBO on this form?

A CBO path on the same page is geared to larger or amalgamated community organisations, with a higher fee and extra amalgamation documents. Most ordinary table-banking chamas start on the group path.
